Create Custom Key Document Types
Description: Create your own Key Document types for documents your organisation needs to manage that are not already available as Aquipa System Key Documents.
Aquipa provides a range of System Key Documents for commonly used document types.
System Key Documents should be used wherever an appropriate document type already exists. This allows Aquipa to recognise the document consistently across relevant assets, registrations, applications, assessments and other workflows.
However, your organisation may also need to manage documents that are specific to your own business.
In these situations, authorised users can create a Custom Key Document type.
Before creating a Custom Key Document
First check whether an appropriate System Key Document already exists.
Where possible, use the existing System Key Document rather than creating another document type for the same purpose.
This helps maintain consistent document information across Aquipa.
If your organisation regularly uses an industry-standard document that you believe should be available as a System Key Document, contact Aquipa Support.
Create a Custom Key Document type
Select your avatar in the top-right corner.
Open the Configuration Panel.
Select Key Documents from the left-hand menu.
Select Create Key Document.
Enter the name and information required for your new Key Document type.
Configure the fields that should be captured for the document.
Save the Key Document type.
Using your new Key Document type
Creating a Custom Key Document type does not upload the actual document.
It creates a document type that users can select when adding a Key Document in the relevant areas of your Aquipa account.
Once created, the new Key Document type will appear alongside the available System Key Documents where it can be used.
Users can then add the applicable document, complete the configured information and upload the required file.
System vs Custom Key Documents
System Key Documents are standard document types provided by Aquipa and designed to be recognised consistently across relevant workflows.
Custom Key Documents are created by your organisation for its own document management requirements.
Where a suitable System Key Document already exists, we recommend using it rather than creating a duplicate Custom Key Document.
