Tour Schedule Options
When setting up the tour in your profile, it’s important to accurately represent the timing and availability of your tours. The Tour Schedule section allows you to manage your tour's departure and return dates and times, ensuring your customers know when they can book with you.
There are 3 scheduling options that apply for Tours:
Recurring departure dates
This option applies if your tour follows a consistent schedule.
For example:
Your tours depart 9am and 2pm every Tuesday and Friday from June - September.
Tour businesses that would use recurring departure dates include: City sightseeing Tours that run every day or on specific days, like every Friday or Saturday throughout the year.
How to set a Recurring Departure Date Tour Schedule
Log In: Log in to ATDW
Profiles: In the main menu, select 'PROFILES'
Find Profile: Find the relevant profile and click the corresponding ‘UPDATE’ button.
Tour Schedule: In the sub menu, select the relevant tour you'd like to add location details for. Then select 'Schedule'.
Select your Tour Schedule: Select the 'Recurring Departure Dates' checkbox.
Schedule Timeframe: Using the date selector, click on the relevant dates that the schedule applies. Starting with From (when this schedule begins), then To (when this schedule will stop or change).
Departure Days: Add your Departure Day by clicking the dropdown menu. If you select Tuesday for example, it means that during the Timeframe you've nominated (Step 6), your tour will depart weekly every Tuesday.
Departure Time: Using 24-hour time, select the Hour and Minute of your departure time using the dropdown. For example, if your tour departs at 4:30pm, you would select '16' in Hour and '30' in Minute. Your nominated departure time will appear. Check that it is correct, before selecting 'Done'.
Return Day and Time: Repeat Steps 7 and 8 to add your Return Day and Time.
Add another Departure Time (optional): If your Tour runs multiple days of the week or at different times throughout the week, select 'Add another departure time', and repeat Steps 7 - 9.
Add another Departure Schedule (optional): If your tour runs at different times or on different schedules during various seasons, click on ‘Add Another Departure Schedule’. This allows you to set up distinct schedules for different times of the year.
Repeat the steps above if your extra schedule has a Recurring Departure Date.

12. Tour Duration: Using the checkboxes, select the tour duration option relevant to your tour. (See: Tour Duration)
13. Review your Schedule: After entering the required information, review your tour to ensure it accurately reflects your tour schedule. Keep your schedule up to date so potential customers can easily see when your tours are available and make informed booking decisions.
14. Submit for Review: Once complete, check your Profile Summary and then submit your profile for review. This step is crucial to ensure that your profile is reviewed, approved, and published, making your updated information visible to potential customers.
Single Date Departure(s)
A single date departure is ideal for tours that run on non-consecutive dates or irregularly.
For example:
Your tour departs on Tuesday this week, and Wednesday next week; or
Your tour departs at 9am this Tuesday, and changes to 11am next Tuesday.
How to set a Single Day Departure(s) Tour Schedule
1. Log In: Log in to ATDW
2. Profiles: In the main menu, select 'PROFILES'
3. Find Profile: Find the relevant profile and click the corresponding ‘UPDATE’ button.
4. Tour Schedule: In the sub menu, select the relevant tour you'd like to add location details for. Then select 'Schedule'.
5. Select Tour Schedule: Select the 'Single Date Departure(s)' checkbox.
6. Scheduled departure date: Using the date selector, click on the relevant date that your tour departs.
7. Select Departure Days: Select the day of the week that corresponds with your Departure Date (Step 6).
8. Enter your Departure Time: Using 24-hour time, select the Hour and Minute of your departure time using the dropdown. For example, if your tour departs at 4:30pm, you would select '16' in Hour and '30' in Minute. Your nominated departure time will appear. Check that it is correct, before selecting 'Done'.
9. Enter your Return Day and Time: Repeat Steps 7 and 8 to add your Return Day and Time.
10. Add another Departure Time (optional): If your Tour departs more than once on the date entered in Step 6, select 'Add another departure time', and repeat Steps 7 - 9.
11. Add another Departure Schedule (optional): If your tour runs at different times or on different schedules during various seasons, click on ‘Add Another Departure Schedule’. This allows you to set up distinct schedules for different times of the year.
Repeat the steps above if your extra schedule has a Single Date Departure schedule

On Demand Tour Schedule
An on-demand tour schedule gives your guests the flexibility to book a tour when it suits them, rather than being tied to a fixed time. It’s all about making the experience more convenient and tailored to their schedule.
Select this option if your tour runs intermittently or depends on a minimum number of bookings.
For example:
A private charter fishing company would use an On Demand Tour Schedule as they often require a minimum number of guests or have tours that only run when specific conditions are met, such as good weather or customer requests.
The tours might not operate daily or on a regular basis but instead depend on bookings or interest from groups of customers.
How to set an On Demand Tour Schedule
1. Log In: Log in to ATDW
2. Profiles: In the main menu, select 'PROFILES'
3. Find Profile: Find the relevant profile and click the corresponding ‘UPDATE’ button.
4. Tour Schedule: In the sub menu, select the relevant tour you'd like to add location details for. Then select 'Schedule'.
5. Select Tour Schedule: Select the 'On demand' checkbox.
6. Provide details: You will be prompted to provide details explaining how customers can book or enquire about available dates. For example, 'Tours run based on demand. Minimum group size of 6 required. Contact the operator for available dates.'
7. Add another Departure Schedule (optional): If your tour runs on different schedules during various seasons, click on ‘Add Another Departure Schedule’. This allows you to set up distinct schedules for different times of the year.
