Where to find Profile Owner information

The Ownership information for a profile can be accessed in the sub menu, under Admin, in the 'Expiry & Ownership' option (shown below).

Ownership Details

The following information for each profile is available to Administrative Users:

Owning Organisation

The owning organisation is the tourism business that currently owns the product and is responsible for managing the profile. This field can be changed to a different organisation—for example, when a business is sold or if the profile was previously held by the STO. (See: How to Change a Profile Owner for details)

Note that the profile needs to have a status of 'Live' before a change in ownership can occur.

Owning STO

The owning STO (State or Territory Tourism Organisation) is set automatically when an operator specifies the business address for their profile at creation. However, administrators can update the Owning STO field when necessary—for instance, for profiles located on state borders that should be managed by a different STO. This ensures accurate reporting and appropriate oversight.

Owning QA Organisation

The Owning QA organisation refers to the entity that is responsible for managing the Quality Assurance (QA) review. This field determines where the profile is sent for quality assurance when the operator presses 'Send for Review.'

Administrators can edit this field to redirect QA reviews to another organisation, helping to balance workloads or to use specialised reviewers. The system also allows for QA re-assignment to VIC/RTO users if this is enabled in your organisation.


Updating a Profile Owner

Only Administrative users can change the ownership of a Profile. Doing so ensures that the correct organisation is responsible for its upkeep, visibility, and accuracy. This is important for keeping information current for potential customers and maintaining a smooth management process.

Best Practice: Before changing ownership, confirm with all relevant parties—particularly the current owner and new owner—that the transfer is necessary and agreed. This helps prevent future disputes and ensures profile management remains seamless.


When to Change a Profile Owner

You should change the ownership of a profile in the following situations:

  • Business sale or transfer – When a business changes hands, update the profile so the new owner has full control to manage its content, updates, and distribution.

  • Profile created under the wrong organisation – If a profile was set up under an incorrect organisation, such as a State Tourism Organisation or another business, transfer it to the correct entity responsible for the business.

  • Organisational restructuring – During mergers, branch changes, or internal shifts in responsibility, ownership may need to be reassigned to ensure the right team manages the profile.

  • Outsourced profile management – If management is being handed to a third party or different organisation, transfer ownership so they can maintain and update it directly.



How to Change a Profile’s Ownership

The following process guides Administrators to change a Profile's ownership. This functionality is not available to standard platform users (i.e. tourism businesses or distributors).

  1. Confirm Change of Ownership: Confirm with all relevant parties—particularly the current owner and new owner—that the transfer is necessary and agreed.

  2. Expiry & Ownership: Navigate to the Expiry & Ownership section using the sub-menu while in the profile. (See: Where to Find Profile Owner Information)

  3. Nominate the new owner: In the Operator Organisation field (shown below), enter the new organisation name and click the 'Find Organisation' button to confirm and select it.

The profile needs to be in Live status to change Ownership.

Check the Profile category

Profiles in the Information Services, Destination Information, and Journeys categories cannot be reassigned to a standard operator organisation. These are Admin-only categories.
