Managing Bookings on ClassCover: How to Update, Edit, or Cancel a Booking

Keeping your school's schedule up-to-date is crucial, and ClassCover makes it easy to manage your bookings. Whether you need to make adjustments or cancel a booking, the process is straightforward on both desktop and mobile platforms.

This guide covers how to edit, update, or cancel bookings in your school’s ClassCover calendar.


Updating or Cancelling a Single Booking

  1. Access the Calendar: Navigate to the Calendar tab on the desktop or mobile version of ClassCover.

  2. Locate the Booking: Find the specific booking you want to update or cancel in your calendar.

  3. Click on the Booking: Click on the booking. A pop-up will appear with options to either Cancel or Edit the booking.

Editing a Booking:

  • You can update any details of the booking, such as dates, times, the class or teacher needing to be covered, or any helpful notes for the class needing to be covered in the pop-up window.

  • After making the changes, click Save to confirm. The casual will receive an email with the updated details.

Important Note: You can edit attached notes, payroll information, class being covered, and teacher being covered on existing bookings. However, you cannot edit booking times, date, or duration (e.g., changing from full day to half day or vice versa). If you need to change any of these details, you'll need to cancel the existing booking and create a new one with the correct information.

Cancelling a Booking:

  • You’ll be prompted to enter a note explaining the reason for the cancellation.

  • After providing the reason, click Confirm to cancel the booking.

  • The casual will receive an email confirmation about the cancellation.


Updating or Cancelling a Repeating Booking or Multiple Bookings

If you need to cancel or update a single day of a Repeating Booking or multiple separate bookings, follow these steps:

  1. Access the Calendar: Navigate to the Calendar tab on the desktop or mobile version of ClassCover.

  2. Click on 'Bulk Action': At the top of the calendar, click Bulk Action.

  3. Search for the Booking: In the pop-up window, search using the name of the casual and the date range of the booking(s) you want to update or cancel.

  4. Select the Booking: Once the results load, select the box next to the booking(s) you wish to cancel or edit.

Editing a Booking:

  • Edit the fields you wish to update and click Update once completed.

  • After reviewing, click Confirm to finalise the edits. A confirmation message will appear at the bottom of the screen to confirm the action.

Cancelling a Booking:

  • After selecting the bookings you want to cancel, click Delete.

  • The casual will be notified of each cancelled booking.


Additional Feature: Opt-In Cancellations

ClassCover offers Opt-In Cancellations, allowing casuals to cancel bookings directly through the ClassCover app. As a school administrator, you will be notified immediately via push notifications and email when a casual cancels their booking.
