Managing Tenants Who Choose to Renew After a Vacates Record is Created

If a tenant chooses not to vacate after you have already created your vacates record, there are a few steps you can take to manage the situation correctly.

Leave a comment on the vacates record

The first step is to leave a comment on the vacates record explaining the situation (i.e. "The tenant has chosen to renew the lease. Closing this record"). To do this, open the vacates record and click the Comment field at the bottom. Enter a comment explaining the circumstances.

Update Status Field to 'Vacate Finalised, Archive Record'

The next step is to update your Status Field to 'Vacate Finalised, Archive Record'. To do this, go the the vacates record and select Vacate Finalised, Archive Record in the Status field.

Create a grid view on the Renewals tab

Once the vacates record has disappeared from the Vacates Tab, you must navigate to your Renewals Tab and create a new Grid View. In this view, filter the view by address to locate the correct record.

Remove Outcome from the record and leave a comment

Once you have located the correct record, simply remove the 'outcome' from the Outcome Field, and the record should show in your renewals views again. It is best practice to also leave a comment on your Renewals Record explaining why you have removed the outcome from the outcome field.
