Duplicate Records in Your Renewals Tab

If there is a duplicate record in your Renewals Tab, it is likely because you have both an agreement end date and rent review date for that tenancy that fall within the next 120 days.

Fixed term tenancies should not have any rent review date in your CRM, whereas Periodic tenancies should only have a rent review date in the future, but may also have an agreement end date that is in the past.

To avoid this from happening in future on your fixed term tenancies, open the property file in your CRM and delete the 'rent review date' from your property file. Then, hop into Airtable and delete the record that is showing as 'Periodic' in your renewals tab.

Another potential reason for a duplicate record in your Renewals tab is that you have actioned the renewal process outside of Airtable and have not updated the record in Airtable. To rectify this, update the older record with the correct outcome to reflect what occurred (i.e. whether the tenancy was renewed, or whether the tenant vacated). This will archive your record in Airtable.

Summary:

Duplicate records in your Renewals tab can be avoided by simply deleting the 'rent review date' from the property file in your CRM if the tenancy is a fixed term tenancy, or by updating the older record with the correct outcome to reflect the renewal process. Doing this will archive the record.
