Changing a Property Manager

If there has been a change of property manager for a property or entire portfolio, you will be required to update your CRM and Airtable with the new property manager. Here is a step-by-step guide on updating the property manager in your CRM and Airtable.

Updating the Property Manager in your CRM

The first step is to update the property manager in your CRM.

Updating the Property Manager Field in your Properties Tab

The next step is to update the Property Manager field in your Properties tab with the new property manager. If you are changing over an entire portfolio, the most efficient way to complete this task is to create a new view that is filtered by the old property manager and new property manager, and group the view by property manager. This will then show you which properties have been changed over and which are yet to be changed. See the below GIF for an example.

Now you can go through the list of properties allocated to the old property manager, compare those properties to what is in your CRM (making sure those properties should be changed over to the new property manager), and then update the field in Airtable with the correct property manager. Updating Other Tabs

Now that you have updated the Properties record, you will need to go through each tab and update the records in those tabs to reflect the new property manager. There are two ways you can go about this; the first way is by opening up the linked records in each of the Properties records and adjusting the property manager field in each linked record. The second way is by going tab to tab, creating new views and filtering it the same way as you did in Properties, and adjusting the property manager for each current record.

The best way to complete the PM audit this way is to duplicate your main view, and adjust the grouping and filter to include the old property manager and the new property manager. See the below GIF for an example.

Best Practice

It would be best to check with your Department Manager on what their preference is, as updating the records via Properties will mean you are updating all historical and current records, whereas updating by tab will mean you are only updating current records, not historical ones.
