Archiving Properties

Archiving a property is an important part of the process when you are no longer managing a property. To make sure the property is completely archived, two steps need to be taken - archiving the property in your CRM and archiving the property in Airtable.

Archiving in your CRM

When archiving in your CRM, the exact process may be different depending on your internal process, so be sure to refer to the specific instructions for your agency.

Archiving in Airtable

When archiving in Airtable, the process is quite straightforward. Simply go to your Properties tab, locate the property record, and update the Property Status field according to the current status of the property. This could be either 'Offboarding' or 'Lost' depending on your client's internal process for processing lost managements. See the GIF below for a visual guide to re-classifying a property.

Additional Steps

Once these two steps are completed, there could be additional tasks that require completion in Airtable based on where you're up to in your workflows for this property. For example, if you happen to have a Renewals record open for this property at the time that you lose the management, you would then need to change your Outcome field to 'Lost Management' which would clear the renewals record from your view. Or, if you happen to have a Vacates record open for this property, you would likely need to change the Owner Re-Let Instructions field to 'Do Not Advertise', and so on. Be sure to check with your CSM on the process for workflow records when a management is lost to confirm the correct process here.
