If you're an Event Organiser, see: Profile Expiry for Events below.
If your profile has expired, it can quickly and easily be renewed within the platform. Here's how:
Log In: Log in to the platform
Profiles: In the main menu, select 'PROFILES'
Find Profile: Find the relevant profile and click on the corresponding 'Update'
Review & Update: You’ll need to make at least one edit to your profile before you can renew it. This could be as simple as updating a photo, adding a deal/offer or refining your business description. This is also the perfect opportunity to check that all your details are current, this includes your descriptions, contact information and booking URLs.
Send for Review: Click on 'Send for Review' to re-submit the profile.
After you have re-submitted, we'll review your profile. If everything is in order, approval typically happens quickly, often within 1-2 business days.
When can I renew my Profile?
You can renew your ATDW profile at any time by making at least one update, and resubmitting it for review. By making this update, you will re-set the 12-month period.
How long does it take to renew a profile?
Renewing a profile on our platform is a quick and straightforward process. If your profile is largely up-to-date, the renewal can be completed in just a few minutes. After submission, we'll review your profile. If everything is in order, approval typically happens quickly, often within 1-2 business days.
Why is the 'Renew' button grey?
This could be due to two main reasons:
No edits have been made yet: To renew your profile, you must first make at least one update. Until a change is made, the 'Renew' button will remain inactive. This ensures your profile information is up-to-date and accurate before renewal. To activate the 'Renew' button, simply make an edit, such as updating your description or adding a new image. Once you've made a change, the button should become clickable, allowing you to proceed with the renewal.
Your profile is not yet due for renewal: Typically, renewal becomes available as your profile nears the end of its 12-month cycle. Your profile can be updated at any time throughout the 12-month period (See: How to Update your Profile).
Profile Expiry for Events
Do I need to renew my once-only event profile?
If your event is a once-only or one-off event (for example, a 2026 festival that will not run again on the same dates), you do not need to renew the profile after the event has finished. Once the final event date has passed, your event profile will automatically expire and stop displaying across our distributor network.
Why am I receiving “renew your profile” reminder emails if I don’t need to renew?
Our reminder emails are generated by an automated system that treats all profile types in a similar way. As your event approaches its end date, the system may still send expiry reminders—even if you have recently saved or “renewed” the profile. For once-only events, you can safely ignore these reminders after the event has taken place, as your profile will expire automatically once the event end date has passed.
When should I renew or update my event profile?
You only need to update or renew your event profile if:
You are making changes before the event (for example, updating dates, times, venue or content); or
You plan to run the event again in future and want to reuse the same profile.
In both cases, you can open the expired event profile, update the event dates and details, and publish the changes so the new occurrence is promoted through our network.
What happens when my event has finished?
For event profiles, the expiry is controlled by the event’s scheduled end date. When the end date passes, the profile automatically expires and is no longer visible through our network. You do not need to take any additional action for a once-only event to “switch off” the listing.
