This article explains every profile status used in ATDW and what each one means for administrators and profile owners. Use it to diagnose the current state of a profile, decide the next action, and understand visibility across the platform and distributors.
Why Profile Status Matters
Knowing the status allows administrators to quickly diagnose next steps:
Is the profile ready for review?
Does it need urgent attention to meet seasonal demand?
Are changes awaiting approval before going live?
Has a profile lapsed and needs renewal action?
Each status is a checkpoint—RTOs and STOs can use these indicators to prioritise outreach and support, while operators benefit from clear guidance on their next move.
Profile Status
Draft
This is the starting point—a brand new profile that has never been submitted for review. Operators and administrators can freely edit the profile, building the details before sending it forward. The profile isn’t visible to distributors or the public at this stage.
Pending QA
When a profile is submitted for review, it is locked for editing. This status signals that the Quality Assurance team is assessing the content against ATDW standards. The profile remains hidden from customers until QA is complete.
Approved (Live)
Once a profile passes QA, it goes live. It's instantly available through the ATDW API, ready for websites and distribution partners to feature. There may be a short delay while external sites update—reflecting our commitment to synchronised, accurate promotion.
Rejected
If the profile doesn’t meet QA requirements—whether due to ineligibility or content changes needed—it is returned with specific feedback. The operator will be notified via email so they can revise and resubmit.
Live (Draft Updates)
Approved and published profiles don’t stand still. If an operator starts editing a live profile but hasn’t submitted their changes for review, the profile remains live in its current form. The new changes will not appear publicly until they’re approved.
Disabled
Disabling a profile removes it from public view and distribution channels. Only administrators and STOs see disabled profiles in Search, allowing them to reactivate when circumstances change.
Expired
Profiles and events that have passed their expiry date and haven’t been updated move automatically to ‘Expired’. They’re no longer distributed, but operators can still access and renew them in their dashboard.
Expired (Draft Updates) / Disabled (Draft Updates)
These statuses work just like ‘Live (Draft Updates)’ but apply to profiles that are currently expired or disabled. A profile in this state is being edited, with changes not yet submitted for review and republishing.
Pending Disable
If an operator has requested to disable or close a profile, it sits in ‘Pending Disable’, awaiting formal approval from the State Tourism Organisation. This status ensures a controlled process, preserving data integrity and clear records.
