ClassCover Customisation Tips for Schools

Updated over 3 months ago

Every school operates differently, with unique schedules, staff structures, and administrative needs. ClassCover gives you full flexibility to customise settings to suit how your school runs – whether that’s setting default school times, managing staff permissions, defining absence reasons, or tailoring compliance tracking. These customisation options help streamline bookings, improve reporting accuracy, and ensure ClassCover works seamlessly for your specific requirements.

This guide will walk you through the key customisation options available to school administrators.

Why Customising Matters

Taking the time to tailor your school’s settings helps streamline your booking process, ensures casuals have all the information they need, and reflects your school’s unique culture and expectations.

Who Can Customise School Settings?

Only users with Administrator Access can view and update school settings.

If you can’t access these settings, you may need to ask your school’s account owner or another administrator to update your access. Learn how to adjust user access levels.

How to Access School Settings

  1. Log in to the desktop version of ClassCover.

  2. Click on your school’s name at the top of the menu bar.

  3. In the drop-down menu, select 'Admin Settings' to access all customisation options.

Customisation Options

  • Manage Team: Add and manage school users and control their permissions.

  • Daily Booking Summary: Choose when your school’s daily booking summary is sent out.

  • Reason for Absence List: Create a list of absence reasons to track and log absences for reporting.

  • Default School Times & Break Times: Set your schools start, end, and break times for accurate bookings.

  • Booking Confirmation Form Settings: Set specific fields in the booking request form as mandatory to ensure key details are always captured. Staff will then be required to include important information such as the reason for absence, the class being covered, and the staff member being replaced.

  • Payroll Report Settings: Customise payroll-related field headings to suit your school’s needs.

  • In-App Cancellations: Set preferences for how booking cancellations are handled on ClassCover.

  • Custom Checkbox:

    • The Custom Checkbox in ClassCover AU is a highly configurable feature designed to help schools track and manage unique compliance or vetting requirements for educators. Schools can define their own compliance requirements and assign them as a label through this feature.

    • This checkbox acts as an internal marker visible only to your school’s administrators and does not affect educators’ profiles globally on the ClassCover platform.

    • The checkbox enables filtering across key school management pages:

      1. Booking Request Page

      2. Pre-Confirmed List

      3. My List

    • Practical example: Schools can label educators as 'First Aid Certified' using the checkbox for quick filtering when booking educators who meet specific custom criteria. The Custom Checkbox is an invaluable asset for schools looking to align their staff management practices with individualized compliance needs.

Final Steps

Once your settings are updated, click Save to apply changes. These updates will be reflected for all ClassCover users in your school.
