The Tag Management Guidelines below provide some tips and guidance on creating and managing tags within your organization's Tag Directory.

General Tag Management

Consider the following tips for general tag management:

  • Limit Manage Tags permission holders: Consider limiting the number of Manage Tags permission holders within your organization. Too many permission holders may lead to duplication and non-streamlined tag management practices. This may result in a busy and crowded Tag Directory that is difficult to manage consistently.

  • Create Tag Management Expectations: If you require several people within your organization to have Manage Tags permission, consider implementing organization-level expectations to follow to ensure streamlined and widely agreed upon tag management practices.

  • Audit Consistently: Conduct periodic audits of tag creation, archiving, and application to ensure that tag details are up-to-date, old tags are archived, and users and challenges are appropriately tagged.

Tag Creation

Before creating a tag, consider the following:

  • Limit Tag Creation: Limiting the number of tags where possible can make it easier to manage and keep track of tags within the Tag Directory and will help to ensure that each tag created within the Directory has a clear purpose.

  • Prevent Duplication: Before creating a new tag, consider searching for existing tags which may have similar functionality to the tag you are going to create. This is particularly important as you cannot delete tags, only archive them when no longer in use.

Tag Names

When creating a Tag Name, consider the following tips:

  • Keep Names Short: Tag names should be easy to remember and should not be too long. Aim for tag names that are concise while accurately describing the content they are associated with. Tag names can go up to 50 characters in length, but try not to create names which push near this limit regularly, as tag names will often need to be typed in search bars in order to apply them to users or challenges.

  • Create Descriptive Names: Ensure that tag names are descriptive enough about their purpose. Descriptions can be used to provide more detail about a tag’s purpose/context, but ensure that names provide enough detail at a first glance. Avoid using vague or generic names that can be easily misinterpreted.

  • Avoid abbreviations: Although abbreviations can be used to shorten tag names, this can lead to confusion and make it difficult to understand what a tag means.

  • Use consistent naming conventions: To ensure that tags are easy to understand and use, it is important to establish consistent naming conventions. This includes using the same spelling, capitalization, and word order for similar tags, to ensure easier searchability.

Tag Descriptions

Consider the following tips when creating tag descriptions:

  • Be specific: Try to be as specific as possible when creating tag descriptions. Use details to provide context and help users understand the tag's purpose.

  • Use keywords: Use relevant keywords that accurately reflect the topic or subject of the tag. This will make it easier for users to find and understand the tag description.

  • Keep Descriptions Succinct: Although tag descriptions may go up to 100 characters in length, it is better for them to be brief and to the point where possible to aid others in your organization who may be searching for and cleaning up many tags in one go.

Tag Colours

Consider the following tips when creating tag descriptions:

  • Consider Colour Meaning: The six available tag colours in the Tag Directory do not have any intentional meaning assigned to them (e.g. green for success, orange for alerts). However, your organization may wish to consider the psychology of color when choosing tag colors. Different colors can have different associations, and can impact the user's perception about a tag’s intended purpose.

  • Consider Colour Coding: You may also wish to colour code tags according to specific categories, tasks, or purposes relevant to your organization. However, remember that only six tag colours are available.

Editing Tags

Consider the following tips on editing tags:

  • Keep Purposes Similar: If you wish to edit a tag in order to give it tag a new purpose, consider creating a new tag instead, so that all users or challenges with that tag applied remain applied with the tag for the same reason. Only change a tag’s purpose if it has not been applied onto users or challenges yet.

  • Update Periodically: Over time, the meaning and use of tags may change. It is important to review and update tags periodically to ensure they remain accurate and relevant.

Archiving Tags

Consider the following tips on archiving tags:

  • Review regularly: Review tags regularly to identify those that are no longer relevant or are rarely used. This can help ensure that your tag system remains current and effective.

  • Use the Bulk Feature: Speed up archiving processes by using bulk archiving.

Applying Tags

Consider the following tips when applying tags to user or challenge:

  • Use the Bulk Feature: Speed up bulk adding and removing tags by making use of the bulk add and bulk remove tag features.

  • Audit Consistently: Conduct periodic audits of tag applications to ensure that users and challenges are appropriately tagged, and that unnecessary and/or incorrect tag applications are undone.
